Platform administration — managing merchants, billing, fraud detection, and platform settings.
Admin Guide
The Admin panel is accessible only to Rheopay platform administrators. It is separate from the merchant-facing dashboard and requires a different login.
This section is intended for platform operators. Merchant users do not have access to the Admin panel and should refer to the other sections of this documentation.
Accessing the Admin panel
Navigate to /admin on your Rheopay instance and log in with your admin credentials. Admin accounts are separate from merchant accounts and use a dedicated authentication flow.
Admin roles

| Super Admin | Full access to all admin features including platform settings and admin user management. |
| Operations | Merchant management, fraud resolution, transaction monitoring. |
| Support | View merchants, transactions, and contact messages. Cannot modify settings. |
| Finance | Invoice management, billing, and financial reports. |
| Read Only | View-only access to all admin areas. |
Merchant management
Go to Admin → Merchants to view, search, and manage all merchant accounts on the platform.
Actions available
| Action | Notes |

| View merchant | See all details, links, transactions, and settings for a merchant. |
| Create merchant | Provision a new merchant account from the admin panel. |
| Edit merchant | Update name, contact email, plan, or any setting. |
| Disable merchant | Prevents the merchant and their users from logging in. Active links are not affected. |
| Enable merchant | Re-enables a disabled account. |
| Delete merchant | Permanently deletes the account and all associated data. Irreversible. |
Deleting a merchant removes all their links, transactions, customers, products, and team members. This cannot be undone.
Merchant detail view
The merchant detail view shows:
- Account information (name, email, plan, created date)
- All payment links and their statuses
- All transactions
- Active team members and their roles
- Connected payment providers
- Active fraud flags
- Activity log
User management
Go to Admin → Users to manage all merchant users across the platform.
From here you can:
- Search users by name or email.
- View which merchant accounts a user belongs to.
- Disable a specific user account without disabling the whole merchant.
- Delete a user account.
Transaction monitoring
Go to Admin → Transactions to view all transactions across every merchant on the platform.
Filters available:
- Date range
- Merchant
- Status (Pending, Succeeded, Failed, Refunded)
- Payment provider
- Amount range
Issuing refunds
Platform admins can issue refunds on behalf of any merchant from the transaction detail view. The refund is processed through the merchant's connected payment provider.
Fraud detection
Go to Admin → Fraud to review all open fraud flags across the platform.
The list shows:
- Flag type (creation rate, burst, amount spike, failure ratio, new merchant spike)
- Affected merchant
- Date and time detected
- Status (Open, Resolved)
Resolving a flag
Click a flag to view the associated activity. If the activity is legitimate, click Mark as resolved. If the activity looks fraudulent, you can disable the merchant from the same screen.
Invoice management
Go to Admin → Invoices to view, search, and manage invoices across all merchants.
- View any merchant's invoice history.
- Download invoices as PDFs.
- Manually trigger invoice generation for a specific merchant and period.
- Mark invoices as paid or void.
Monthly invoices are generated automatically on the 1st of each month at 06:00 UTC for all active merchants.
Contact messages
Go to Admin → Contact to view messages submitted through the platform's contact form.
Each message shows:
- Sender name and email
- Message content
- Submission timestamp
Platform settings
Go to Admin → Settings to configure global platform defaults. Changes here affect all merchants unless overridden at the merchant level.
Settings available
| Setting | Description |

| Default plan | The plan assigned to new merchants on registration. |
| Default link creation fee | Fee charged per payment link created (can be overridden per plan). |
| Default email delivery fee | Fee charged per email sent through Rheopay. |
| PSP fee markup | Additional percentage added to the PSP transaction fee. |
| Default email templates | Platform-wide fallback email templates used when a merchant has no custom template. |
| Platform email | The from-address used for all platform-sent emails. |
Plans
Go to Admin → Plans to create and manage subscription plans.
Each plan defines:
- Monthly price
- Feature flags:
email_delivery,file_upload,analytics,activity_log - Per-link creation fee
- Per-email fee
Merchants are assigned a plan on creation. Plans can be changed from the merchant detail view.
Coupons (platform-wide)
Admins can create platform-wide discount coupons that merchants can apply to their billing invoices. These are separate from the merchant-level product coupons used on payment links.
Go to Admin → Coupons to create, list, and revoke platform coupons.
Admin user management
Available to Super Admins only.
Go to Admin → Admin Users to:
- Create new admin accounts with a specific role.
- Edit an existing admin's role.
- Disable or delete an admin account.
